Description

The Tribal Vocational Rehabilitation Program Support Specialist is responsible for front-line support for clients. This position is responsible for welcoming clients and guests, accepting and making referrals, and assisting with the coordination of wrap-around services for clients. This position performs clerical work and front receptionist duties and will also provide administrative and office support to the Tribal Vocational Rehabilitation Program Director to facilitate the efficient operation of the department. Position carries out specific requirements related to applicable federal and state grants and contracts.

Principle Duties
  1. Greets all clients and visitors warmly in person and by phone and offers information and assistance as needed; monitors the flow of clients and visitors, refers clients to other programs ads necessary.
  2. Maintains responsibility for front desk duties, office support, conference room scheduling, light office cleaning, office supply inventory, sets up and takes down conference room for classes.
  3. Responds to inquiries about the Tribal Vocational Rehabilitation Program, provides program information, verifies information, enters information into database, and maintains client files and waiting lists, writes articles for the newsletters, and maintains the TVR blog.
  4. Assists clients to develop resumes, write cover letters, and fill out job applications.
  5. Assists clients with Tribal Vocational Rehabilitation Program online assessment tools such as the World of Work Inventory (WOWI) among others.
  6. Assists Tribal Vocational Rehabilitation Program Director to prepare, process, monitor, and track-to-conclusion documents such as purchase orders, vouchers, program materials and documents, or similar, as well as faxing client eligibility requests, treatment update requests, etc.
  7. Develops and maintains organized and audit-ready client files including but not limited to intake applications, financial documents, eligibility review, case notes and course completion documentation. Assists with compiling data for statistical purposes, required reporting, and coordination of services.
  8. Assists with educational outreach including but not limited to financial management, credit repair, job readiness skill building and other services that will result in clients becoming self-sufficient.
  9. Plans and reserves out of town travel arrangements for Tribal Vocational Rehabilitation staff.
  10. Works cooperatively and collaboratively with other tribes, and community resource providers while maintaining confidentiality and the requirements of HIPAA, FERPA, and 42 CFR Part 2, completing all appropriate documents that authorize release of information.
  11. Completes required training, attends meetings, and prepares reports as directed by supervisor; assists in preparation and implementation of community outreach and awareness materials and activities.
  12. Performs other duties as assigned.

Required Qualifications
  1. Must possess a minimum of a high school diploma or equivalent with a minimum of three years of experience working in a closely related field that involves providing direct client services.
  2. Knowledge of standard office administrative practices and procedures.
  3. Familiarity with local resources including childcare, nutrition, behavioral health, medical providers, etc.
  4. Must possess the ability to work independently or with minimal supervision.
  5. Must possess a working knowledge of issues affecting Native American populations and the importance of connection to culture and traditional ways of providing holistic services.
  6. Must possess moderate computer skills with knowledge of Microsoft Office 365.
  7. Must possess a high level of confidentiality and professionalism.
  8. Must have the ability to provide high-quality customer service.

    Preferred qualifications:

  1. AA degree, certificate, or training in human services, psychology, office administration, health records technology, or related subject.

Applicants must be a Washington State resident or willing to relocate to Washington State.

Working Conditions

Physical Demands: Long periods of sitting, including driving (60% of time); occasional bending, crouching, stooping, stretching, reaching, lifting, carrying, and pushing (20% of time); and occasional standing and walking (20% of time). Occasionally lifts/carries up to 20lbs. Must possess manual dexterity sufficient to use office equipment with frequent repetitive motion such as writing, typing, paperwork-handling, and phone use. Must possess the ability to view print on a computer screen and/or paper document; the ability to speak and hear exchanging information with end users by telephone. Mental/Visual Demands: Frequent mental and/or visual attention to task is required. Occasionally work requires heavy concentration. Frequent interruptions. Tasks involve eye-hand coordination. Working Environment: Work environment is mainly indoors with heat and some air conditioning. Must sit or stand at the front desk for the majority of shift. Occasionally works alone without benefit of supervisor or co-worker. Unavoidable hazards/risks: Work requires minimal risks which require safety precautions (using some cleaning chemicals for light cleaning). Protective clothing or equipment may be required (goggles, gloves, masks, boots, etc.)
