Description

The Receptionist/Office Assistant will provide general administrative support for the Tribal office, including all reception and telephone support for Samish staff. The position answers inquiries and obtains information for the general public, tribal members, visitors, and other interested parties regarding tribal departments, and the location of satellite offices. The position provides oversight of shipping, receiving, and large-scale mailings, coordinates ordering and track inventory for general office supplies, and manages cash receipt log. and provides administrative support to other Summit Park departments as needed.

Principle Duties
  • Answers multiple telephone lines including voice-mail, and route calls to appropriate departments
  • Greets guests in a professional and courteous manner and assists them with their inquiries and questions
  • Maintains general office supply inventory including placing orders and verifying correct shipment of orders; assists with grants and contracts physical inventory tracking and control
  • Collects and distributes mail daily to all campuses.  Prepares packages for delivery and tracking via Fed Ex or UPS and operates various types of office equipment including postage meter, copier, printers, fax, etc. 
  • Maintains a log of cash receipts for the accounting department
  • Maintains key inventory and ensures their security for Summit Park campus
  • Assists with newsletter coordination and preparation.
  • Provides organization and orderliness of the supply closets and common areas
  • Coordinates food for tribal events, staff and council meetings.
  • Composes internal and external office correspondence such as requests for documentation, news on upcoming staff events, and responses to requests for information
  • Performs other duties as assigned
Required Qualifications
  1. High School Diploma or GED combined with (1) year progressively responsible experience. Degree or certificate can be substituted for 3 years progressively responsible experience.
  2. Must be highly proficient with Microsoft Office to include Word, Excel, Publisher, and Outlook
  3. Must be able to type a minimum of 40 wpm
  4. Must have excellent written and verbal communication skills
  5. Must possess experience in business practices and procedures, business math, grammar, business correspondence, and telephone etiquette
  6. Must have a clean driving record
  7. Must be reliable, efficient, and personable
  8. Must have organized work habits to ensure timely completion of assignments
  9. Must be able to maintain a clean and professional work environment
  10. Must be able to lift/carry up to 30lbs
Working Conditions

Physical Demands: Long periods of sitting (60% of time); occasional bending, crouching, stooping, stretching, reaching, lifting, carrying, and pushing (20% of time); and occasional standing and walking (20% of time). Occasionally lifts/carries up to 30lbs. Must possess manual dexterity sufficient to use office equipment with frequent repetitive motion such as writing, typing, cash-handling, and phone use. Must possess the ability to view print on a computer screen and/or paper document; the ability to speak and hear exchanging information with end users by telephone Mental/Visual Demands: Frequent mental and/or visual attention to task is required. Occasionally work requires heavy concentration. Frequent interruptions. Tasks involve eye-hand coordination. Working Environment: Work environment is mainly indoors with heat and some air conditioning. Must sit or stand at the front desk for the majority of shift. Occasionally works alone without benefit of supervisor or co-worker. Unavoidable hazards/risks: Work requires minimal risks which require safety precautions (using some cleaning chemicals for light cleaning). Protective clothing or equipment may be required (goggles, gloves, masks, boots, etc.)
