Description

The Chelángen Event Planner oversees all aspects of event planning and management for the Chelángen Department, both in-person and virtual. This position understands the complex needs of different events and diverse guests. This position manages the logistics of multiple events simultaneously.

Principle Duties

Principal Duties:

  1. Plans all event aspects such as venue, instructors, supplies, refreshments, etc.
  2. Plans all virtual event aspects such as scheduling Microsoft Teams meetings, managing invites, coordinating instructors, etc.
  3. Serves as the central point of contact for all events undertaken by the Tribe
  4. Provide updates to the event calendar and PR firms as needed.
  5. Keeps RSVP and attendance lists up to date.
  6. Manages and oversees events on the day of, including troubleshooting as problems arise, troubleshooting technology issues, directing event set-up, communicating with staff and volunteers, organizing vendors, and managing the clean-up.
  7. Works with the Chelángen and Xws7ámeshqen Director and other Samish Indian Nation staff to plan quality events that are culturally appropriate.
  8. Administers multiple budgets accurately and within allotted funding.
  9. Keeps all event materials organized and inventoried.
  10. Works with the appropriate staff to create and fulfill contracts.
  11. Processes invoices in a timely manner.
  12. Maintains a good working relationship with citizens, instructors, vendors and venues.
  13. Provides information and photographs for publication in the tribal newsletter, annual report and on the website of both upcoming and past events.
  14. Works closely with the other Chelángen staff to prepare event supplies and execute events. Occasionally assists other departments to plan and execute non-Chelángen events.
  15. Performs other duties as assigned.
Required Qualifications
  1. Must possess a high school diploma or GED
  2. Must have one year of experience with planning events/activities
  3. Must be extremely detail-oriented and able to multi-task
  4. Must have moderate computer skills with knowledge of MS Office and e-file management 
  5. Knowledge of Microsoft Teams a strong plus.
  6. Must have ability to learn new technological skills easily and with little direction.
  7. Must have strong decision-making skills and initiative to perform assigned duties with a low level of supervision 
  8. Must possess organized work habits which will assure timely and accurate submission of reports, requests, budgets and other time-sensitive materials
  9. Must have the ability to work professionally with a diverse group of people with varying levels of technological capabilities.

Working Conditions

Physical Demands: Periods of sitting, including driving (50% of time); bending, crouching, stooping, stretching, reaching, lifting, carrying, and pushing (20% of time); and standing and walking (30% of time). Occasionally lifts/carries up to 30lbs. Must possess manual dexterity sufficient to use office equipment with frequent repetitive motion such as writing, typing, paperwork-handling, and phone use. Must possess the ability to view print on a computer screen and/or paper document; the ability to speak and hear to exchange information with end users by telephone Mental/Visual Demands: Frequent mental and/or visual attention to task is required. Occasionally work requires heavy concentration. Frequent interruptions. Tasks involve eye-hand coordination. Working Environment: Work environment is mainly indoors with heat and some air conditioning, but occasional work outside may include inclement weather. Must sit or stand for the majority of shift. Occasionally works alone without benefit of supervisor or co-worker. Unavoidable hazards/risks: Work requires vehicular travel and minimal risks which require safety precautions (using some cleaning chemicals for light cleaning).
